How the AI works

Scoutfy is hiring software. When you apply to a job through it, an automated system helps the hiring team review applications faster. This page explains, in plain language, what that system reads, what it produces, and — most importantly — what it never does.

The short version: the AI organizes and explains. People decide. No application is ever rejected, filtered out, or hidden by the automated system. Every decision about your application is made by a person on the hiring team.

What the system reads

The automated review looks only at what you and the company provided:

  • Your resume — the file you uploaded with your application.
  • Your cover letter, if you included one.
  • The job description — the requirements the company wrote for the role.

It does not search the web about you, visit your social profiles, or pull data from anywhere else.

What the system produces

For each application, the system prepares a structured summary for the hiring team:

Every judgment comes with its reasoning attached. The hiring team never sees a bare score without the evidence behind it, and the category is presented as the system's suggestion — recruiters can and do change it, and their opinion is what counts.

What the system never does

  • It never rejects anyone. Moving an application forward or declining it is always a person's action. The system has no ability to advance, reject, or archive an application on its own.
  • It never hides anyone. Every application is visible to the hiring team, whatever the automated reading said. Sorting helps the team choose what to read first; nothing is filtered away.
  • It never emails you. Any message you receive about your application was sent by a person on the hiring team.
  • When it is unsure, it asks for human review. The system is instructed to prefer "Needs review" over a negative reading — missing a good candidate is treated as the worse error.
  • When it fails, you lose nothing. If the automated reading fails for any reason (an unreadable file, a technical error), your application stays fully visible and is reviewed by hand, exactly as if the system did not exist.

Where your application goes

Your application is visible only to the hiring team at the company you applied to. To produce the automated reading, your resume, your cover letter, and the job description are sent to Anthropic, the AI provider — Anthropic does not use them to train AI models, and nothing else about your application leaves Scoutfy. Applying takes no account, and re-submitting with the same email updates your earlier application to that job rather than duplicating it — after you confirm the update from a link we email to that address, so nobody else can change your application by typing your email.
